What it is
TCO estimates the full cost of a proposed solution over its lifetime — not just licensing or infrastructure spend, but the operational and people costs that are easy to underestimate up front.
Key points
- Beyond sticker price: infrastructure/licensing cost is usually the easiest part to estimate; operational cost (on-call burden, maintenance engineering time, training) is the part most commonly left out — and is often larger over a multi-year horizon.
- Scaling cost curves: a solution cheap at current scale can become disproportionately expensive at 10x volume (or vice versa) — TCO estimates need to model growth, not just current-state cost.
- Migration and exit costs: the cost of eventually moving off a solution is a real cost that belongs in the comparison, especially against alternatives with lower lock-in.
- A TCO estimate is a decision-support tool for the customer — its value depends on being honest about the assumptions and uncertainty behind the numbers, not on projecting false precision.
